1. Roles

For inquiry data submitted via this site: Dynamic Dialects acts as data controller. For personal data inside active project files, Dynamic Dialects acts as data processor on behalf of the client under a signed Data Processing Addendum.

2. Categories of data processed

Inquiry data: name, email, organization, role, phone (optional), and project details. Engagement data (under DPA): whatever personal data is contained in client files provided for service delivery.

3. Legal basis

Inquiry data: legitimate interest (responding to your inquiry). Engagement data: contract performance under the DPA. Analytics (if enabled): consent.

4. International transfers

Dynamic Dialects has a legal/contact office in Orlando, Florida, United States. EEA/UK/Switzerland data transfers to the US use Standard Contractual Clauses or applicable adequacy mechanisms. Specific safeguards are named in the DPA for each engagement.

5. Data subject rights

EU/UK/Swiss data subjects have rights to: access; rectification; erasure; restriction of processing; data portability; objection to processing; withdraw consent (where consent is the legal basis); lodge a complaint with a supervisory authority.

6. Retention

Inquiry data: 24 months from last contact, then deleted. Engagement data: retained per the DPA, typically deleted within 30 days of project close unless the client instructs longer retention.

7. Security

Access controls, encryption in transit, retention limits, and documented quality steps apply to EU data subject information according to the relevant inquiry or signed engagement.
